Verslag: overleg.01 – Atelier in Beeld 2026 - vrijdag 11/12/2026
Wie was er: Level Five: Laila; Globe Aroma: Alice Ciresola; MAX: Niels Poiz en Wessel Damen; Constant: Sarah Illouz en Marius Escande; VGC: Els De Greef
Intro
Er kwam een positieve reactie op de vraag van VGC om opnieuw mee te doen met de volgende editie van Atelier in Beeld/Open Studio Days. In 2024 was het de eerste keer met een eerder magere opkomst. Vorig jaar zijn we vroeger opgestart en gezamenlijke initiatieven genomen waardoor het geheel zeker sterker was. Er waren duidelijk meerdere bezoekers dan het jaar ervoor. We hebben de intentie om op dit élan verder te doen. De kaart, het samenwerken werd als positief ervaren door iedereen. Het is ook fijn om elkaar via dit initiatief nog beter te leren kennen.
Andere locaties worden ook nog gevraagd of ze hun deuren openzetten, met al dan niet een programma.
= Werkplaats Walter, Sarah & Charles, Decoratelier, Moussem, Volta, MONA, …
De datum
Het weekend van Atelier in Beeld is 2,3 mei 2026.
Er is de ongerustheid dat er veel kunstenaars niet aanwezig kunnen zijn wegens het lange weekend (met 1 mei erbij). De suggestie komt om ev. een weekend later of vroeger te doen. De aanwezigen kunnen zich wel vinden in een ander weekend. Het voordeel is dat er meer kunstenaars aanwezig kunnen zijn om het atelier open te stellen. Ook is het lange weekend niet goed wegens veel volk dat mogelijk ‘op weekend’ is.
Het nadeel is wel dat we dan niet onder grote weekend van Atelier in Beeld en zo niet meeprofiteren van hun promo. Maar hebben we dit nodig? Kunnen we dit ook alleen dragen? Er is een vermoeden van wel.
= Afspraak: VGC polst bij de niet-aanwezigen
Communicatie
Er is het voorstel om terug een kaart te maken: fysisch en digitaal. Sarah (Constant) ziet het zitten om dit terug te doen. De tekeningen mogen zeker door iemand anders gemaakt worden. Zo niet, zal Sarah opnieuw de tekeningen maken.
= Afspraak: Wessel denkt aan een kunstenaar binnen MAX. Volgende keer zal hij wat voorbeelden meebrengen
Programma
-route: We stippelen opnieuw een tour uit (stappen, fietsen)
-elke plek: iedereen zal overwegen om iets extra te voorzien – we houden rekening dat met elkaars momenten
-Eindigen op een plek is ook fijn om samen af te sluiten (cfr. Globe Aroma vorig jaar). Wel vraagt Alice (als het terug bij hen zou zijn) of er mensen kunnen meehelpen met de bar bv. om het voor iedereen draaglijk te houden.
Budget
VGC voorziet opnieuw 2000 euro voor het maken van de kaart. (alles inbegrepen)

BMS is less public then before. First there was a newsletter, and moments were public, and now it is more an inner circle communicating through the Signal group, but there are many people connected to it. They received some funding from Marius Jacob foundation, they want to open more to others, how can the BMS group live inside of CDJ ?
Lot of materials that needs to go up and down, not very practical.
Q: Can they use the small shed, the one closest to the buiding, as a tool shed ?
A: Yes
Q: Would it be possible that more people with keys access the space to get material? For exemple 3 or 5 people.
A: Opinions are divided, some yes, some concerns for responsability / insurance when keys start floating.
**Option to consider: everyone who has a key, signs a 'contract'/ becomes a 'renter' but on different conditions: Could this work ?
**Alternative: store stuff in the basement in the front house, so no-one needs to access the studio. Sarah will ask owner next week if basement belongs to 386, if so it needs to be discussed with the group.

Decided with Leo for storing the batteries :

- there was a lot of stuff left on monday in the space when Sarah and Marius started building up, that is not the idea, space should be empty.

-> Let's try to stick to the rule that the space needs to be empty when you're done, so that the next people can start with an empty space and not with left overs.

- Overview of energy costs, proposal for potential new charges for the rent
(Donatella will inform us on Monday per email on the mailing list)

- I received the balance of the energy costs for last year (May 2024 -> May 2025).
- On top of the 107,22 € we pay every month, we had to pay a final balance of 637,52 €.
- The monthly costs has been recalculated for this year to 139,58 € per month.
- I personally don't find it too bad, considering that the heating has been used more intensely last year.
- Moreover, this amount is peanuts compared to the reserve we have put aside during the first 2 years of our studio, which is May was of 16.147,99 €.
- My proposition is :
- -> to keep a part of the reserve for unpredictable costs that could rise or arrive in the future, but that a part of it will be spent before 2027 (next cycle of subsidies for Constant);
- -> to discuss a possible lowering of the monthly rent considering that we don't need to put constantly money aside;
- -> other suggestions are welcome.
- Unfortunately I can't be there this afternoon to discuss this with you.
- If not many people are present today it would be maybe good to re-discuss this in September?

4. Budget:
- -> what to do with our reserve of money
- As you know, we are putting aside money through the rent we pay every month, reaching now smt like 12.000 euro.
- The idea is not to keep this money indefinitely (Constant is still a non profit organisation ;) ), so it would be good to discuss:
- - if we will use them for extra renovation needs or smt else;
- - if we stop putting money aside (which would mean to pay less rent/month)
- Moreover, it seems that the works of Fix are much cheaper than their initial devis so the reserve will be untouched.
- Rent has a part for costs, and reserve managed by Constant. It has not been used. It will grow! Constant cannot keep it indefinetely, cannot be a bank.
- - Fix was cheaper than budgeted after recalculation. We can do the doors?! Around 15.000. The blue backdoor of the fronthouse, needs to be done soon then. Fix is ready to do it, Renaud (electrician) needs to be
- - Gas is calculated in June (probably double?)
- - We can wait until June, and then recalculate rent and provisions based on the real use of gass during the whole year.
- - We prepare the back house for spring to be build.
- - Work on the curtain / separation between the main space and shelves space.
- - Every year, reduce reserve to 6000 max (either lowering rent or doing investments)

6. Constant is proposing to do an open call for an artistic project in the garden. What are our thoughts ?
- Lovely! Theme = otherworldly communication. Non-human components, and how this makes us think differently of/with tech. Constant has ppl in mind. Sth that does not intrude? Interventions could be nice! It is a garden with a community! Does the selection include CDJ people? Consensus? A Garden Against Time! For fall 2025? Or later. Maybe some of us want to apply?

9. Saint-Luc jury in the common space
- Rafaella Houlstan, which is member of Constant, and teacher at Saint-Luc, asked me if it would be possible to host the jury of their students in our common space in CDJ. The students are invited every year to show their work in a different space outside the school. The jury will happen on 23-24-25 (full days) + 26 June in the morning (cleaning up). Rafaella is checking if the school has budget to rent the space, but she is not sure. I've checked the calendar and the common space is free on these days. What do you think about it?
